Brand Partner Portal

The Brand Partner Portal (The Portal) is Age UK’s newest tool for brand partners. The main aims for the Portal are: 

  • to boost the visibility of brand partners’ local services information  
  • to make it much easier to submit information to Age UK national

The Portal currently has four functions designed to support the above aims. Click on the sections below to learn about The Portals individual functions in more detail:

Website Integration

This function in The Portal allows brand partners to upload details about their services, events, activities and shops making all of these local offerings searchable by visitors to the Age UK website.  

When visitors to the Age UK website search for services/events/activities/shops near them, results will be delivered using their postcode to show results closest to them. By clicking on these results, the web user will then be taken seamlessly to the brand partner’s website.  

How will this function benefit brand partners? 

This part of The Portal serves three positive purposes.  

First, it boosts web traffic to brand partners’ own websites by leveraging Age UK’s 2.2m web sessions per month and guiding users to view the services near them on their local brand partner’s website. 

Second, we believe that guiding people directly to information about the local services available to them may result in a reduced demand on local information and advice services handling queries around service provision. 

And finally, it simply makes it easier for older people to find services near them when they land on the Age UK website. 

I&A Integration

Many partners may remember a previous iteration of I&A integration which allowed brand partners to divert calls to the National Advice Line.  

I&A Integration through The Portal is a far more powerful version of the old I&A integration and can help brand partners manage calls to their I&A service whilst ensuring the caller receives advice that is local to them. 

I&A Integration has three tools in its belt: 
  • *Call backs When a caller reaches the National Advice Line the new I&A Integration allows that team to book a local call-back if desired. This enhances the local experience for the caller, allowing them to speak to a person in their local Age UK/Cymru and helping them understand what services are available in their area. 
  • Call diversions Brand partners signed up to I&A Integration can set up call diversions to the National Advice Line’s Level 1 team. The National Advice Line can then handle the call or arrange a call back. This feature is helpful to brand partners in the event they are short-staffed or have reduced office hours. 
  • Warm Transfers This function allows the National Advice Line to transfer a caller to their service directly to a brand partner’s I&A team for local assistance/advice.   

*Brand Partners must offer the call back service as part of the I&A Integration 

How will this function benefit brand partners? 

I&A Integration allows flexibility in managing the call volume to your local I&A services helping to ensure that local calls can be answered even when your team isn’t immediately available.

Quality Assurance Framework (QAF)

The Quality Area of The Portal has been designed to support brand partners with continuous improvement and to meet the requirements of the Age UK Network Quality Assurance Framework.

The intention is to provide partners with more ‘early warning signs’ of potential quality issues through more regular quality monitoring – making it easier for partners to spot where action might be needed and to request support. It also aims to remove ‘crunch points’ from the external quality assessment processes by building a system that supports continuous assessment. Partners will also be able to measure the satisfaction of their service users and see the results of those surveys in real time. The Quality Area will also allow partners to see the schedule of their quality assessments and produce and download reports that they can use with their Boards and other stakeholders to provide assurance. 

How will this function benefit brand partners? 

By supporting continuous assessment, monitoring and improvement, brand partners can quickly spot places where action needs to be taken and seek support if necessary. This function will also allow brand partners to produce reports as and when they are needed. 

Organisational Information

This is a dedicated area of The Portal that will gather your organisational data into one place. This is information that you may have provided elsewhere previously, and the intention is that the Portal will gather this information into one location. Over time, this will significantly reduce the duplication of requests for information that you experience and it will also reduce the administrative requirements for Age UK. As more Partners complete this information, Age UK will be able to turn off some of its processes related to gathering this information elsewhere. 

NB The information is not finalised and some areas may change over time – for example we will be removing number of people supported as this is covered by the Quarterly Partner Information Return. 

How will this function benefit brand partners? 

This function acts as a dashboard for your organisational information. Some of it requires input from your team and some will auto-populate based on content you have entered for your local services, events/activities, and shops. Over time this function will reduce the requests for information from Age UK​.

Website Integration

For those brand partners who have been involved in the Pilot, Sprint 1 and Sprint 2 of the website integration function of the BPP, we are working hard to check your Services content in preparation for integrating your portal pages with your website.

  • If we have come back to you with content amendments, please let us know when these are completed as the Google Sheet will not notify us of any notes you have made there.
  • We have placed Event checking on hold until we can fix a bug that is affecting these. Work is underway to rectify this problem. This will not hold up progress with Services content checking
  • We look forward to welcoming our Sprint 3 partners in May. We are holding an informational session on the 11th of April. If you have not received an invitation and would like to attend, please email portalaccess@ageukorg.uk to request the details.
Quality Assurance Framework (QAF)

The Quality team are working with a group of partners to test out three key parts of the Quality Area of the BPP:

  • the serious incident reporting function
  • the annual confirmation report
  • the quarterly confirmation report.

The team have already received some very helpful feedback and once the testing is complete, they will work with the developers to take on board all the feedback and optimise the system.

I&A Integration

The I&A Integration function currently has 47 live partners on the service

During March, the National Advice Line:

  • Answered 1574 calls on the dedicated Integration line
  • booked 838 call backs for partners to complete
  • Successfully transferred 24 calls to partners I&A lines.

Flagging A Service Issue: There are currently ongoing issues with emails sent from the portal not being received. This is affecting forgotten password requests and new user invitations.

If you have not received an email for either of these please email: integrationcustenquiries@ageuk.org.uk to have your password reset or to complete a new account set up.

In some cases this issue is also affecting call back notification emails. Please make sure to check the portal regularly for any new cases. We are working hard to get this issue resolved.

The Brand Partner Portal continues to move forward to support its four current functions.  These functions are Website Integration, I&A Integration, Quality Assurance Framework, and Organisational Information. Find out all about these functions and how they can help brand partners:

> Website Integration

This month, partners involved in the website integration function of The Partner Portal have attended weekly drop-in sessions focussed on supporting them to upload their services/activities/shops content. We looked at the importance of Locations, Organisational Information and Categories & Tagging when uploading their local content. These drop-in sessions have been really helpful in troubleshooting issues and answering questions and they will continue as we welcome more and more partners into this portal function.

For partners who have not yet joined us for Website Integration and who are keen to make sure their local services and activities can be searched through the national website, we have places available in Sprint 4 which kicks off on the 1st of September. For partners signed up to Sprint 3, this will commence on the 2nd of May. If you would like to join us for Sprint 4 please get in touch with the team at portalaccess@ageuk.org.uk.

> I&A Integration

If you have not yet signed up for the fantastic I&A Integration, please consider doing so. This Partner Portal function has three tools in its toolbelt that can really support your local I&A Service. > Quality Assurance Framework (QAF)

The QAF is about to undergo user testing on its new format on the Partner Portal. The team are keen to increase the number of people involved in testing the functionality of this area. If any partners are interested in helping with this, please would you contact the team at quality@ageuk.org.uk

> Organisational Information

Partners who already have access to the Partner Portal can fill in their Organisational Information through the My Portal tile. The intention is that the Portal will gather this information allowing it to sit in one place. Over time this will significantly reduce the duplication of requests for information that you will experience. As more Partners complete this information, Age UK will be able to turn off some of its processes related to gathering this information elsewhere so we can all help each other by updating Organisational Information to help reduce data requests. Good news for all our brand partners already using the Brand Partner Portal! The portal is now updating every 15 minutes instead of just one time overnight. 

What does this mean for you? When inputting your Services, Events, or Shop information into the portal, you will be able to see these updates to your preview page within 15 minutes. This means that you can preview and tweak things more quickly. 

We are now in Sprint 2 of the Brand Partner Portal. We’re keen to get brand partner Services, Events, and Shops information live as soon as possible so local people can find this information through the Age UK website. If you are in an active sprint and/or still working on submitting your content and you have any questions, please get in touch with the team at portalaccess@ageuk.org.uk.

The project is on track and has started the rollout of Sprint 1 with 27 Local Age UKs for the Brand Partner Portal. This week, we held a group workshop for sprint 1 Partners on organising and managing the integration of their data. To support the progress of the Partners in Sprint 1, we will also be holding regular bi-weekly drop-in Clinics to support any issues with their rollout. 

We are also still working on some functional developments to be added to the portal, these are on track to be completed in the coming weeks.

We will be asking you to add your basic organisational information into the Portal in July and August. There will be more detail given at the first webinar on 6th July. 

You will then be asked to sign up to one of the rollout windows for the Portal. There will be 4 windows throughout the next year. We have spaced these out to ensure you can book your rollout at a time that suits you and ensure that Age UK’s resources are able to effectively support those Partners going live at any one time.

As you may know, the Brand Partner Portal is a new platform which will improve the way in which Local Age UKs interact with Age UK National and communicate information about their Services, Activities & Events and Shops on the local Age UK websites.

Key benefits include: 

  • Improve your local Age UK website’s search and filtering capabilities about your local services
  • List your services and events on the Age UK’s National website, improving the flow of people from national to local sites
  • Improve the overall support and quality of the National Helpline about the specific services partners offer
  • Enable the sharing of information on services delivered by Partners across the network

Refinements to the Brand Partner Portal and Local Directory have continued throughout Autumn.  

It has been a difficult juggling act to move this work forward as we approach Winter and adapt to the shifting Covid-19 rules and the change in priorities that these bring. Consequently, the finished systems will now be completed around the end of January next year.  

We continue to work with group of pilot Brand Partners to help them prepare their content and we will look to roll out the Portal to the rest of the network once the pilot group has started to make their content live on their websites.

> 09/11/20

The pilot to test the Brand Partner Portal has finished. The Local Age UKs who were in the pilot continue use the Portal to add their content and the compiled feedback is being implemented into the three related systems to make the Portal as easy to use as we can. We expect these changes to be implemented in November. Preparations for the full rollout to the network continues.

> 07/09/20

We are currently working with a pilot group of Local Age UKs to trial using the Brand Partner Portal and its integration to your website.  We will make improvements based on their feedback to ensure it works well for all partners before it is rolled out to the network this Autumn.


Governance & User Groups

The Portal is governed through the Network Infrastructure Programme Steering Group.

A virtual user group and a way to feedback on the portal is to be established.
